Any company moving household goods across state lines has to be registered with the Federal Motor Carrier Safety Administration and carry a USDOT number. That registration, the operating authority behind it and the insurance on file are public records. Run the check on this company and on everyone else you are considering.

Every interstate move carries one of two, and the difference between them only shows up on the day something arrives broken.

Released value protection

Included at no extra charge

It pays 60 cents per pound per article, so weight decides the settlement and value does not. For anything genuinely valuable that is very little money.

Full value protection

Costs extra

It covers repair, replacement or a cash settlement. On an interstate move it is the level you get by default unless you waive it in writing.

What you should be holding before a truck is booked

An interstate mover is required to give you the booklet Your Rights and Responsibilities When You Move, and a written estimate, before the move. Estimates come in three kinds and they do not behave the same way.

Binding
fixes the price for the inventory listed on it. Add to that inventory and the number you signed is no longer the number that applies.
Non-binding
is an estimate of the charges rather than the charges. It can change once the shipment is weighed.
Binding not to exceed
means you pay the lower of the estimate and the actual cost, so weighing can help you and cannot hurt you.

Signs to walk away from

Can the invoice be billed straight to the employer?

Where the relocation policy authorises it, yes, and it is set up before the move rather than after. It depends on three things: the policy allowing direct billing at all, the authorisation reaching us before pickup, and the scope staying inside what the policy covers. Anything outside the policy, such as extra services the employee adds on the day, is billed to the employee separately so the employer invoice still reconciles.

Which estimate type should a relocation policy specify?

That depends on whether the inventory can be pinned down in advance. A binding estimate fixes the price for the inventory listed, which is predictable but only holds if the list is complete. A non-binding estimate can move up or down once the shipment is weighed. A binding not to exceed estimate means you pay the lower of the estimate and the actual cost, which is the safest of the three for an employer funded move because weighing can only work in your favour.

Is the included liability level enough for an executive household?

Usually not. Released value protection is included at no extra charge and pays 60 cents per pound per article, so a heavy item and a valuable item are settled the same way, by weight. Full value protection costs extra and covers repair, replacement or a cash settlement, and it is the default on an interstate move unless it is waived in writing. The question for the policy is not which level is better, it is whether the policy reimburses the full value charge.

What paperwork does a reimbursement usually need?

Finance teams normally want a written estimate, a signed inventory, weight tickets where the price is weight based, and one itemised invoice that ties back to the same file reference. Interstate movers are required to give you a written estimate and the booklet Your Rights and Responsibilities When You Move before the move, so two of those documents exist whether or not anyone asks for them. Confirm the rest of the list with your own finance team, because requirements differ between employers.

Can spend be broken out by employee or by lane?

Yes, on request, and it is built from the itemised invoices rather than from a separate system. It depends on one file reference being applied consistently from the survey through to the final invoice, and on you telling us the grouping you need before the files close rather than after. Ask at the point the account is opened and the reporting follows the same reference from the start.
